The team at Christmas For CAMHS are looking for a Coordinator Elf (Project Coordinator / logistical wizard) who can help our packing weekend for Christmas 2026 go without a hitch.
About the Charity
Christmas For CAMHS is a registered charity who provide 'Christmas in a Box' for children and young people who are inpatients on child and adolescent mental health (CAMHS) wards across the UK over the festive period. Our charity was founded by Dr Ro Bevan. While working as a doctor back in 2015, she saw first hand that during the festive season hospitals supporting children with physical illnesses were showered with huge amounts of gifts and festive treats - as they should be! The following year she was working on a CAMHS ward and she was shocked by the contrast - there wasn’t a single donation. It was like Christmas had never arrived. This didn’t feel fair, so Christmas For CAMHS was born! Eleven years on, we are still the sole donor for 94% of CAMHS wards in the UK at Christmas.
Role Description
The Coordinator Elf will ensure that the packing weekend (which will be on 28th and 29th November 2026, plus the late afternoon of 27th November) runs smoothly, taking some of the pressure off our trustees and volunteers. Working closely alongside our remote Head Elf, who is in charge of assigning gifts, paperwork and purchasing, you will ensure that all CAMHS units in the UK get the right box with the right gifts, using our tried and tested systems.
You will help to ensure our stock is transferred from storage to our packing weekend venue in central Bath, along with hired tables, snacks and other important equipment. You will manage the set up of the space, as well as briefing and coordinating a big team of Volunteer Elves, who work in shifts to do the physical packing and other related tasks. You will troubleshoot elf cancellations and missing gifts, check boxes have the right contents and that all gifts are safe, liaise with our Head Elf about any discrepencies and make sure everything is labelled and safely whisked away across the country on the 30th November too. At the end of the packing weekend you will work with our intern (and some Volunteer Elves) to make a great inventory of remaining stock ready for next year. You'll keep the packing weekend moving at a good pace, but not so fast that our Sunday Volunteer Elves have nothing to do!
You will be expertly guided by Ro and Tom, who have performed the Coordinator Elf role wonderfully as volunteers over the past few years but are due a break!
Person Specification
The person that we are looking for is:
- Relentlessly organised and not overwhelmed by the complex logistics of packing gifts and goodies for over 100 CAMHS units in one weekend
- Excellent at reading and interpreting spreadsheets and other written pieces of information, and translating this to on the ground action
- Able to think on their feet and problem solve without feeling stressed
- Great at time management
- Happy to speak to, brief and direct teams of volunteers of all ages and backgrounds, including re-direction when needed, ensuring everyone has a great packing weekend experience
- Able to work independently but also confident to say when things don't make sense or they need more information in order to do the job well
- Fully available between the 27th-30th November and for some planning in the couple of weeks beforehand
- A safe pair of hands!
This role may involve some heavy lifting, but if this will be a problem for you just let us know in your application.
It is not necessary to be a driver to take on this role, though if you are this is handy to know.

We are hopeful that the person who takes this role would be happy to work at the packing weekend for future Christmasses too
